Terms and Definitions

For the purpose of this Privacy Policy, “User Data” refers to the proprietary information and information about its users (including Personal Data) submitted through the Chatbot/Website by its users. This includes information on conversation history, engagement details and interested areas/topics. “Personal Data” means any information relating to individuals that is protected by applicable privacy law.

What User Data does VeServe collect through the Chatbot/Website?

In general, VeServe Chatbot will log down all engagements and interactions from a chat session with a user for record purposes. This includes FAQs that has been triggered by the users’ queries, information submitted by users voluntarily through the use of contact forms as well as FAQs footsteps (significant FAQs that has been triggered by the users) from the users’ journey. When a User enters through one of the channels from VeServe Adaptors, their profile picture, username and signature would be logged down into the system.

VeServe will only collect User Data when it is voluntarily made available to us by a user.

How may VeServe use Personal Data collected through the Chatbot/Website?

VeServe will mainly use the Personal Data to provide an enhanced user experience. For example, by providing a name or a preferred name at the start of the conversation, the name will then be used for a customized greeting during the user engagement with the Chatbot.

VeServe may refer to User Data to better understand user needs.  The data that will be used are information that the users had voluntarily submitted, such as the users’ name and contact information and their session history with the Chatbot or their preference in solutions/services when submitting the contact form. VeServe may use that information to contact users.

All usage of User Data remains internal and confidential within VeServe. Only staffs involved with following-up on queries will be allowed to access such information. Prior to qualifying as a potential lead, VeServe will not share any User Data collected to its partners. VeServe will not rent or sell any User Data.

VeServe may aggregate data and information related to the performance, operations and use of the Chatbot/Website to create statistical analyses, to perform benchmarking, research and development and other similar activities aimed to improve current services. VeServe will not incorporate User Data for such activities in ways that could identify the user, and VeServe will use industry standard techniques to anonymize User Data prior to performing these activities.

How may users direct or restrict the use of their information?

If a customer does not wish to have their information collected through the Chatbot/Website, they can simply refrain from using these services. Please note that prior to any contact forms or requests for demo, all information submitted (user’s name) will be used within the chat session and for enhanced customer experience only. Since the use of a pseudonym is also accepted instead of the users’ real name, users who do not wish to disclose their real name may use a pseudonym instead. Some Personal Data is considered Sensitive Personal Data, such as any Personal Data that reveals race, ethnic origin, political opinions, religious or philosophical beliefs, information that concerns health of sex life, and information about criminal or administrative proceedings and sanctions. VeServe will not disclose Sensitive Personal Data to a third party that is not authorized or use Sensitive Personal Data for a purpose other than the purpose for which it was originally collected, unless VeServe has received affirmative and explicit consent to do so (opt-in)

VeServe is committed to protecting Personal Data collected through Chatbot/Website. VeServe have implemented appropriate physical, electronic and administrative procedures to safeguard and secure this information from loss, misuse, unauthorized or disclosure and destruction.

What information may be gathered from children?

The Chatbot/Website services are not intended or designed to attract children under the age of 13. VeServe does not collect personally identifiable data from any person it knows to be under the age of 13.

How will we ensure compliance with this policy?

VeServe conducts compliance audits of our privacy practices to verify compliance with this Privacy Policy. Any VeServe employee that is determined to have acted in violation of this Privacy Policy will be subjected to disciplinary action up to and including termination of employment.

Any questions or concerns regarding VeServe’s use or disclosure of Personal Data should be addressed to VeServe will investigate and attempt to resolve any complaints and disputes regarding the use and disclosure of Personal Data in accordance with the provisions of this Privacy Policy.

Any changes made to this Privacy Policy will be posted on this page, as well as an updated link will be provided when users access the Chatbot. The date the Privacy Policy was last revised is identified at the bottom of the page. If VeServe make material changes to how VeServe treats Personal Data that falls within the scope of this Privacy Policy, VeServe will notify users (which have opted to receive such updates) by email, as specified in the user records, or through a notice in the Website.

The user is responsible for ensuring VeServe has an up-to-date, active and deliverable email address, and for periodically visiting the Privacy Policy to check for any changes.
